Heights Dance Academy – Terms & Conditions & Waiver (2025)
By enrolling at Heights Dance Academy, I acknowledge that I have read, understood and agree to the following terms, policies and conditions of participation.
Attendance & Conduct
- Students must arrive 10 minutes before class to ensure a prompt start.
- Appropriate dance footwear (e.g. ballet, tap) and full HDA uniform must be worn. Students are expected to have full uniform by the end of their first term.
- Hair must be secured in a neat bun, with no loose strands.
- Jewellery is not permitted, except for stud earrings or items worn for religious or cultural reasons.
- Students must behave respectfully at all times and change/wait quietly between classes.
- Persistent disruptive behaviour, by students or accompanying adults, may result in dismissal from the academy.
Parent Access & Waiting Areas
- Parents/guardians/carers are not permitted to stay in class (except for baby classes).
- Parents may remain only for medical or transport reasons with prior agreement.
- Waiting areas must remain quiet to avoid disruption.
- Parents are expected to model respectful conduct while representing HDA.
Health & Safety
- Students attending multiple classes may take a short break. Please provide cold snacks and lidded drinks only.
- Students will not be permitted to leave the venue unless accompanied by a responsible adult or staff member.
- Attendance and punctuality are key. Please notify the Principal if your child will be late or absent.
Shows & Costumes
- All students must participate in academy shows and performances.
- Show costumes are to be purchased by parents/guardians. Support will be offered to source affordable options.
Communication
- All key updates are shared via our private Facebook group.
- To join, please friend request Andrew Faulkner.
- This group is for currently enrolled families only. All content is private and may not be shared externally.
- Parents/guardians will be removed from HDA social media groups when a student leaves the school.
Closures, Refunds & Cover
- If classes are cancelled due to Covid-19, they will be held via Zoom and are non-refundable.
- If classes are cancelled due to weather or venue access, fees remain non-refundable.
- If classes are cancelled due to staff absence, either:
- A replacement class will be arranged
- A cover teacher (DBS-checked) will be provided
- A future credit will be issued
Policies & Safeguarding
- All HDA staff are DBS-checked and fully insured.
- Full insurance, health & safety policies, and risk assessments are available to view at Westerham Village Hall during class times.
Enrolment
- All registration forms must be completed and signed before attending classes (excludes trial students).
Fees & Payments
- Fees are paid monthly in advance, calculated across a 43-week year and split into 12 equal monthly payments.
- Class Passes offer discounted bundles and follow the formula:
- (Weekly cost × 43) ÷ 12 = Monthly Fee
- Missed classes are non-refundable, except in exceptional circumstances at the Principal’s discretion.
- A 1-month written notice is required to withdraw from any classes. Fees remain payable during the notice period.
- Fees are reviewed every 6 months and may increase each April or September in line with national/local cost increases.
- Monday Afterschool Club classes (at any Primary or Secondary school) are invoiced termly and must be paid in full before the first class begins.
- Sibling discount: A 15% discount applies to the second and third siblings. No discount is applied to the first child.
- Multi-class discount: Students enrolled in Monday Afterschool Club classes will receive 25% off their term fees if they attend three or more additional group classes during the week.
- Please note: This multi-class discount does not apply to Main Academy classes.
Payment Terms
Payment is due within 14 days of the invoice date.
In accordance with the Late Payment of Commercial Debts (Interest) Act 1998, Heights Dance Academy reserves the right to:
- Charge statutory interest at 8% above the Bank of England base rate
- Apply a late payment compensation fee of £40, £70, or £100, depending on the outstanding amount
If payment is not received within this time, your child’s place in class may be suspended until the account is settled.
Continued non-payment may result in formal recovery via the Small Claims Court.
By enrolling in our classes or submitting payment, you agree to our full Terms and Conditions.
Waiver of Liability
By enrolling in our classes/events/camps, I acknowledge that dance training involves a risk of physical injury. I voluntarily assume full responsibility for any such risks and hereby release Heights Dance Academy, its staff, instructors, sponsors and venues from any liability for accidental injuries or illnesses incurred while participating in any classes, rehearsals, workshops, events or performances.
I understand and agree that Heights Dance Academy holds no responsibility for injury except in cases of proven negligence by staff.
Protection of Property
I understand that Heights Dance Academy is not responsible for any lost, stolen or damaged personal belongingsduring participation in classes or events. It is the responsibility of the parent/student to safeguard their property.
Medical Attention
In the event of illness or injury, I authorise Heights Dance Academy to administer basic first aid and, where necessary, arrange transport to a medical facility.
Where possible, emergency contacts provided on the registration form will be notified.
Photo/Video Release
Heights Dance Academy may take photographs or video during classes, performances, and events for use in promotional materials (including website, social media, advertising, and educational content). From time to time, approved third-party professionals or agencies engaged by Heights Dance Academy may also capture photo/video content for these same purposes, always under the school’s supervision and safeguarding policy.
If you do not wish your child to appear in such content, it is your responsibility to ensure their student profile on Class For Kids is updated with the correct photo/video permissions prior to participation. Heights Dance Academy will always respect the permissions recorded on this system.
Acknowledgement & Consent
By enrolling in our classes or submitting payment, I confirm that I have read, understood and agree to the terms, conditions, policies, and waiver outlined above. I understand these are conditions of enrolment at Heights Dance Academy and accept full responsibility for my child’s participation.
